POSITION DETAILS

A boutique professional services firm with an excellent reputation in the lower mainland is currently opening its doors to a Manager of Administration to join their team. The firm maintains an entrepreneurial, hands-off management style that has traditionally empowered and grown individuals over the long term. There is an extremely flat structure to the firm and their office environment is very positive. In addition to a firm wide, open door policy, they conduct weekly meetings in which the entire team is encouraged to collaborate and communicate with each other about their problems or concerns. This format helps to ensure that workload is evenly and accurately distributed across the group.

Work life balance is very well respected at this firm; 40 hour work weeks are typical even during the busy seasons. In addition, the office closes for a week during Christmas!

This role is a key position in the office as you will directly impact the growth and internal processes of the office. Your role will be extremely varied and key accountabilities will include an equal balance of Administration, IT and Special Projects. A more inclusive list of duties can be found below:

Administration functions:

• Manage the front desk
• Oversee calendars and scheduling
• Respond to and communicate with vendors and clients
• Oversee correspondence and mail
• Answer phones, greet clients (reception functions)
• Order office supplies

IT Functions:

• Assist with system improvement initiatives
• Manage the integration of files and information into the CRM and cloud based system
• Assist with a transition to a paperless environment

Additional duties:

• Oversee special projects related to office improvement initiatives
• Basic accounting and billing duties
• Train new staff on operations

The company that you are joining is incredibly flexible. Over time, it is very likely that the reception and administrative duties will be phased out to give you more time for special projects and duties. There are two growth paths clearly available, one towards a future with heavier accounting functions and one towards a more administrative function. There is unlimited development for your career if you choose to pursue this opportunity.

To be considered for this role you need to have a few key skills and a great personality. Type-A, detail oriented, motivated people with a great sense of humour do well here. This is not the type of role where you will be micromanaged or told to do your job. You need to be innovative, intelligent and proactive.

Essential Skills Include:

• 3-5 years of administrative experience
• Understanding of office management functions
• Excellent technical skills and a willingness to learn more
• Excellent MS Office Suite Skills (Work, Outlook, Excel)
• Extremely strong communication skills.

Strong assets for this role will include accounting experience or executive assistant experience.
