POSITION LOCATION:This position is based in Eastern Ontario, West of Ottawa. We advertise in various locations to raise the visibility of this opportunity for those interested in relocating.
Our client, an established manufacturer, seeks to engage a Contracts Administrator to be responsible for the management of large contracts.
The successful candidate will have strong leadership and contract administration skills and experience.
The key responsibilities of this position relate to the management of contracts and relationships between buyers and sellers. This includes managing communication, actions due, scheduling meetings for both parties, coordinating change order processes, monitoring, documenting and reporting on supplier performance, and managing supplier performance improvement plans.
The Contracts Administrator works independently on specific large projects or contracts and also supports, participates in or leads the general improvement and definition process as related to contract administration.
Participate in and lead process, procedure creation, and improvement.
Provide advice and apply specialized knowledge in the development of the Contract Administration process, procedures and tools.
Read, analyze, provide advice and apply the contract in daily transactions and in disputes.
Lead team meetings.
Lead the development of the project contract administration plan in conjunction with the contract team.
Review and approve permits and training. Verify qualifications and provide training.
Lead the development of reports on performance, including monitoring of contract cost, scheduling, quality, and technical performance.
Verify contract completion.
Manage integrated Change Control to ensure that changes are properly approved and that all those with a need to know are aware of and approving such changes.
Administer and record job progress. Monitor work activities to verify contract compliance.
Document administrative actions and all data required to support the project's business activities and performance assessments.
Document decisions and events.
Verify that the technical and commercial contract conditions are fulfilled throughout the contract.
Ensure that all work has been completed and that all deficiencies and administrative matters have been resolved.
Monitor payments to the supplier.
Complete contract closeout reports for contractor's performance.
Resolve contract disputes.
Honours degree in Engineering or Business.
7+ years of experience conducting contract administration, with at least 3 years on large equipment, construction, and/or design contracts.
Technical background or demonstrated understanding of engineering and/or construction contracts is an asset; ability to read engineering documents and drawings is required.
Strong construction background.
Knowledge of ethical contract administration and business practices; contract management and administration experience.
Strong computer skills in Microsoft Outlook, Word, Excel and similar programs.
Excellent faciliatation skills, sound judgement and ability to identify and resolve disputes according to contractual requirements.
Excellent communication and relationship management skills.
Document control / records management or similar clerical experience.
Strong analytical, business and negotiation skills are required to manage adherence to contractual requirements and to negotiate settlements to disputes.
Experience in administering contracts related to design, architectural and construction / design / build within plant operation settings.
In-depth knowledge of and experience in applying commercial and contractual formats and specific terms and conditions.
Must be able to work independently, establishing priorities in meeting conflicting requirement deadlines.
Willingness to devote additional / extended hours and work under pressure.
Ability to effectively communicate both orally and in writing in a large complex matrix organization.
Ability to reconcile the disparate objectives of buyer and seller as contracting parties, and to manage both internal clients and external suppliers.
Proven capability to lead others through influence rather than authority.
Must have a thorough understanding of both conventional text and legal terminology and documentation.
Able to understand basic technical issues and documents.
Strong organizational and time management skills are required, along with the ability to lead and coordinate communications for multiple and/or large contracts.
Salary is commensurate with experience.
