Administrative Assistant

About the Job

Robots are taking over the world, if that doesn’t scare you, join the revolution!

At EZ-Robot, we’re just like you. We live and breathe robotics, and we’re on a mission to share our passion worldwide. We imagine, design, and create powerful robot technologies used by customers across 85 countries. Our robots engage and educate people of all ages and backgrounds, allowing them to embrace robotic technology.

We’re growing, and now we’re looking for you, our first-ever Administrative Assistant.

Who are you?

You’re an administrative whiz with a love for technology and a desire to grow a career in an exciting, up-and-coming company.

You have some administrative or office management experience, and now you’re looking for a role where you can make a big impact on a small team and have fun while you do it.

Administrative Assistant

As our new Administrative Assistant, you’ll split your time between office administration, customer support, and bookkeeping support.

We’ll rely on you to keep our office running smoothly and looking beautiful. You’ll take ownership of our space, ensuring office supplies are well-stocked and our team has everything they need, when they need it. You’ll keep track of daily meetings and prepare rooms by setting up materials and refreshments.

As we grow, you’ll help us determine the best way to set up our office and administrative functions. Whether you’re researching new office furniture or cubicle walls, digitizing our filing, or investigating the best options for printing or phone services, you’ll have a major impact on setting us up for success.

You’ll interact directly with our customers by providing online support, handle incoming inquiries, and direct specific questions to appropriate departments. You’ll also be the face of our company – we don’t get many guests, but you’ll be the first point of contact for anyone who comes to visit.

You’ll also support our bookkeeper, by using QuickBooks Online to enter receipts and expenses, and assist with filing. If you have an interest in finance or accounting, there’s opportunity here to grow your role to eventually take over our accounts receivable and payable functions.

The Right Fit

You’re the best candidate for this role because you are:

  • Proactive –you’re always looking ahead to keep our office operations seamless. You take care of the details, so we can focus on the big picture.

  • Independent - you don’t need someone telling you what to do, you just do it. You’ll have a big-picture view of our office, and when you see areas where we can improve, you take initiative on your own to find out how.

  • Patient – you’ll support customers from across the world, and often deal with language barriers. Communication barriers don’t stress you out, and you’re used to working with diverse groups of people.

Working at EZ-Robot

We’re a close-knit group who genuinely enjoy working together. We’re casual, fun, and relaxed. We have comfortable hang-out areas in our bright, modern office, with pinball machines and arcade games.

We value independence – working here means having the freedom to come up with solutions on your own. We’re flexible, and don’t get too caught up on the details.

There’s tons of room for growth here, as we continue to expand. We can’t wait to meet you.

The Details

This is a full-time, permanent position working in our Calgary office. You’ll work Monday to Friday, 9 am – 5 pm (with some flexibility). Our business complex offers a shuttle service to Chinook Station, so we’re accessible by public transit.

Your salary will be between $36,000 - $46,000/year commensurate with experience. You’ll get standard vacation, but there is potential for working remotely if you need more time off. You’ll also get the day off for your birthday! You’ll have a health spending account, and once we formalize our benefits plan, you’ll have access to that as well.

Qualifications

  • Experience in an administrative role in an office setting (e.g. administrative assistant, office administrator, office manager, etc.)

  • Experience using Microsoft Office at an intermediate level, for document and spreadsheet management and creation; strength in Excel is an asset (e.g. ability to use pivot tables, advanced functions/formulas, data analysis)

  • Experience with bookkeeping or basic accounting is an asset

  • Experience using QuickBooks Online is an asset

How to Apply

Our online application will give you the option to apply to this role as a complete person – not just a resume. The application will assess your qualifications, personality traits and workplace preferences, and should take 10 to 15 minutes to complete. After submitting, you'll receive an email inviting you to log in and view your assessment results.
